What This Warning Looks Like
While recording, you may see a yellow warning message that says:
Microphone muted since [TIME]. Incoming calls, screen savers, or sleep mode may have muted it automatically. Please prevent this next time to ensure a complete recording.
After you stop recording, you may also see a summary of the gaps that occurred:
"Microphone was muted for a total of [DURATION]. Gaps in audio: [TIME RANGES]"
What Causes Data Gaps
Data gaps happen when IntelliSession stops receiving audio from your microphone for part of the session. Common causes include:
Incoming phone calls - On iPhone and iPad, an incoming call can temporarily mute the microphone for other apps, even if you decline it. This is one of the most common causes of data gaps on mobile devices.
Device sleep or lock screen - If your device goes to sleep or locks during the session, the operating system may pause microphone access to conserve power.
Screen saver activation - On desktop devices, a screen saver may interrupt recording or interfere with microphone access.
Switching apps - On some devices, leaving IntelliSession or moving to another app can cause the browser to lose access to the microphone.
Low Power Mode - On iPhone and iPad, Low Power Mode may more aggressively limit background activity, including audio capture.
How to Prevent Data Gaps
On iPhone and iPad
Turn on Do Not Disturb or Focus mode: before starting the session to block incoming calls and notifications
Disable Auto-Lock: during sessions, go to Settings > Display & Brightness > Auto-Lock and set it to Never (remember to re-enable it after)
Turn off Low Power Mode: go to Settings > Battery and disable Low Power Mode
Keep IntelliSession open: in the foreground while recording
On Mac or Windows
Prevent sleep: adjust your energy or power settings so your computer does not go to sleep during sessions
Disable the screen saver: turn it off or set a longer timeout
Keep the browser tab active: avoid minimizing the browser window while recording
Will Data Gaps Affect My Note?
Data gaps mean that part of the session was not recorded. How much this affects your note depends on how long the gaps were and how often they happened:
Short gaps lasting only a few seconds are unlikely to meaningfully affect the quality of the generated note.
Long or repeated gaps may leave out important parts of the conversation. IntelliSession can only transcribe what was recorded, so anything said during a gap will not appear in the note.
If the gaps were significant, review the generated note carefully and add any missing details manually.
FAQs
Can I Still Create a Note if There Were Data Gaps?
Yes. Data gaps are a warning, not an error. You can still submit the recording and generate a note. IntelliSession will transcribe whatever audio was successfully captured.
Why Did I Get a "Speech Could Not Be Detected" Error Instead?
If the gaps were large enough that little or no usable audio remained, IntelliSession may not be able to detect speech at all. In that case, you will see: "Speech could not be detected. Please double check your audio and make sure the conversation was captured successfully." Try recording the session again, or use a text summary or dictated summary instead.
I Wasn't Getting Any Calls. Why Did the Microphone Still Mute?
Even without incoming calls, your device may mute the microphone because of auto-lock, sleep mode, or background app restrictions. On iPhone and iPad in particular, the operating system may suspend microphone access when an app is no longer in the foreground. To reduce the risk, disable Auto-Lock and keep IntelliSession open during the recording.
How Can I Tell Which Parts of the Session Were Missed?
The warning message shows the time ranges of the gaps, for example: "Gaps in audio: 01:30-02:15, 05:00-05:45." These times match the recording timer, so you can estimate which parts of the session were not captured.
